Facebook, Instagram and Broker Leads in One Real Estate Workflow

Consolidated real estate lead management brings enquiries into one operating workflow while preserving where each enquiry came from, who may see it and who is responsible for the next action. It should combine visibility without erasing broker attribution or sharing one business's private contacts with another.

For a developer, the practical goal is straightforward: the sales team should not have to reconcile downloaded social-ad spreadsheets with broker introductions and a separate follow-up list. The connection, however, must be defined channel by channel.

What “connect social media” actually means

A social network can supply several different kinds of information. An instant lead form, a direct message, an organic comment, a paid ad report and a publishing calendar are separate products and permissions.

An account can be connected successfully while one form still has a mapping or permission problem. Test the full path to the assigned lead before increasing ad spend.

Prepare the business assets and access

Identify the Facebook Pages, linked professional Instagram accounts and lead forms that belong to the business you are onboarding. The person connecting them needs the relevant authority and lead access. Connecting a personal social profile is not equivalent to authorizing every business asset it can see.

Use a business-approved connection flow, not a shared password in a spreadsheet. Keep an accountable owner for asset access, renewal issues and disconnect decisions. Ask which permissions are required and why; permissions for retrieving leads do not automatically include every messaging or advertising capability.

Meta's Lead Ads documentation describes lead retrieval as a specific integration area. Provider requirements and approval status should be checked against the current configuration before customer activation.

Set up lead channels in Nogbase

In the Developer App, open Settings → Lead Channels. The Broker App has its own agency lead-channel settings; connecting an agency's Pages does not connect them to a developer's private workspace.

To configure a Meta lead channel:

  1. Open Lead Channels as an authorized administrator.
  2. Choose the Meta connection action and complete the business authorization flow.
  3. Select the business assets you are permitted to connect.
  4. Review each connected Page and its enabled status.
  5. Test an eligible lead form and inspect the resulting lead fields and source.
  6. Confirm the assigned team member can find the lead and record the next action.
  7. Assign an owner to monitor connection health and manage Page access changes.

If a Page or form is missing, check the connecting account's business-asset access and lead permissions. Administrator access in Nogbase and access to Meta business assets are separate permissions.

Preserve source, assignment and entitlement separately

Imagine a buyer submits a Facebook form on Monday, speaks with a brokerage on Tuesday and appears in a broker-submitted EOI on Wednesday. One buyer can have several legitimate source events.

Maintain at least three independent fields of reasoning:

  • Marketing attribution: which campaigns or channels influenced the enquiry?
  • Follow-up ownership: which authorized team member should act next?
  • Brokerage entitlement: which agreement and evidence govern the introducing agency's commercial claim?

A duplicate match must not automatically transfer the buyer to a different team or decide who earns a commission. Review conflicting introductions under the agreed commercial process. The commission guide explains why a source label is not a payment instruction.

Deduplicate without losing useful history

Repeated delivery of the same external lead should not create a new enquiry each time. A later genuine enquiry from the same person may still contain new project interest or qualification details.

Use the external submission identifier to recognize delivery retries. Match phone/email cautiously for possible person duplicates, and retain source timestamps and original form context. A shared family phone number is not proof that two people are the same buyer.

Normalize contact formatting, review incomplete fields and preserve a reason for merges. Your operational goal is one understandable customer history—not simply the lowest possible lead count.

Make ownership and response measurable

Agree who handles an unassigned lead, when it should be reassigned and what happens outside staffed hours. A round-robin rule is useful only when the people receiving the leads can actually act on them.

Measure time to first meaningful response, follow-up coverage and qualified-to-EOI conversion. For campaign comparisons, use consistent cohorts. Do not report cost per lead from a connector that captures leads but does not import verified ad spend. Count-based source attribution and cost attribution are different capabilities.

Keep broker visibility deliberate

Consolidation does not mean every broker can see every lead. Developers need their own sales operation; broker agencies retain their own relationships. Share only the information required for an authorized workflow, such as a submitted EOI, and preserve the introducing agency's identity.

Before activation, test a lead from each eligible source, a duplicate delivery, an unassigned lead and a revoked channel. Then confirm visibility from an ordinary salesperson and a separate broker account. Pair the workflow with controlled inventory access so the sales handoff reaches current, authorized units.

Discuss your channel requirements with the exact Pages, form types and broker handoffs you need. That produces a usable connection plan instead of an ambiguous promise to connect “everything.”
